NAIROBI, Kenya – The United Nations Office at Nairobi (UNON) has announced multiple vacancies for Human Resources Assistants at the G6 level, offering qualified professionals an opportunity to join the world’s largest international organization.

UNON provides administrative and other support services to the United Nations Environment Programme (UNEP) and the United Nations Human Settlements Programme (UN-Habitat). It also provides joint and common services to other organizations of the United Nations system in Kenya and manages and implements programmes for the United Nations Secretariat in Kenya.

Position

Job Title: Human Resources Assistant (Multiple Positions)

Job Grade: G6 (General Service Category)

Employment Type: Full Time

Key Responsibilities

The successful candidates will perform a range of human resources functions across three main areas:

Administration of Contracts and Staff Movements

Selected candidates will carry out on-boarding processes for selected candidates, process personnel actions, issue Letters of Appointment, monitor contract expiration dates, and process contract extension requests.

They will process temporary and permanent staff movements and related administrative actions, including those related to inter-agency agreements. Off-boarding actions for separating staff and related separation personnel actions will also be part of the role.

The HR Assistants will assist staff with documentation related to benefits and entitlements by providing guidance on requirements, sharing standard forms, reviewing submissions for accuracy and completeness, and following up on missing or inaccurate information prior to processing actions in relevant systems.

Administration of Benefits and Entitlements

The role involves maintaining the personal status of staff members and administering and monitoring entitlements related to dependents. The HR Assistants will respond to a range of queries on staff benefits and entitlements, providing guidance based on established policies.

They will review supporting documentation and process entitlement-related actions in the Enterprise Resource Planning (ERP) system. This includes processing travel requests for home leave, family visit, education grant travel, and similar entitlements in accordance with UN policies and procedures.

The HR Assistants will review and approve time and attendance requests, including parental leave, sick leave, special leave, and Rest and Recuperation (R&R), ensuring accuracy and completeness. They will identify inconsistencies and escalate issues to the supervisor or Operational Support Desk when required.

Monitoring submission of required annual declarations and following up as needed, as well as reviewing and preparing submission of documentation related to health and life insurance and the Joint Staff Pension Fund, are also key duties.

Other Related Duties

The HR Assistants will monitor implementation of staff benefits and entitlements in compliance with existing rules and regulations through review of personnel actions.

They will assist with the collection and analysis of data, as well as its presentation for knowledge sharing and decision making, by extracting and reconciling data from Umoja (the UN’s ERP system) and related systems. This includes ensuring data integrity and identifying discrepancies and areas requiring management attention.

Maintaining tracking tools, ensuring HR records are up to date, assisting with visualizations and updating information material such as web pages or brochures, and participating in special human resources projects and ad hoc clean-up exercises are also required.

The role includes guiding and supervising junior staff in the section and performing other relevant duties as required.


Education Requirements

Completion of a high school diploma or equivalent is required.

Training in human resources or administration is desirable.

Good knowledge of UN human resources rules and procedures and HR systems, particularly Umoja, is desirable.


Work Experience Requirements

Minimum Experience: A minimum of seven years of progressively responsible experience in human resources management, administrative services, or a related area is required.

Education Substitution: The minimum years of relevant experience is reduced by two years for candidates with a first-level university degree (Bachelor’s degree or equivalent).

UN Common System Experience: At least five years of experience in administering staff benefits and entitlements for internationally recruited staff in the UN Common System or a similar international organization is required.

ERP System Experience: At least two or more years of experience working with an Enterprise Resource Planning (ERP) system, such as Umoja or SAP, is desirable.

Data Analytics: Work experience of one year or more in data analytics or a related area is desirable.
