Job Description

The Finance Intern will provide dedicated operational support to the Program Finance team. The primary focus is on verifying, sorting, and submitting supporting documentation under the YEFFA program.

The role is designed to help the team sustain compliance with donor requirements, specifically the Mastercard Foundation’s rule that a minimum of 95 percent of all expenditures must be fully supported and approved prior to disbursement.

The intern will support the Program Finance team in reviewing and verifying AGRA supporting documentation across multi-country and continental portfolios. The scope is operational in nature and excludes exposure to sensitive financial decisions or confidential data beyond what is necessary to perform assigned tasks.


Key Duties and Responsibilities

Document Organization and Indexing

The intern will sort, organize, and index supporting documentation received from country teams and grantees. This ensures that records are easily traceable and retrieval-ready for review and audit purposes. Proper indexing allows the finance team to locate documents quickly when needed.

Completeness Checks

The intern will conduct preliminary completeness checks on submitted supporting documents against donor and internal compliance checklists. Any gaps or anomalies will be flagged to the responsible Program Finance Officer for action. This step is critical for maintaining the 95 percent compliance threshold.

Document Tracking and Follow-Up

The intern will maintain an up-to-date tracker of documentation status by country, partner, and submission cycle. They will proactively follow up with country teams to obtain missing or corrected documents within agreed turnaround times. This requires strong communication and organizational skills.

Donor Submission Support

The intern will support timely first-submission and resubmission of supporting documentation to donors. This includes assembling submission packs, ensuring naming and labelling conventions are met, and contributing to the achievement of the 95 percent approved-expenditure threshold.

Records Management Coordination

The intern will coordinate with the records management team to organize scanning, filing, and labelling of YEFFA supporting documentation. This ensures accurate retrieval, proper archival, and a positive audit rating for the Program Finance function.

Compliance Rectification Support

The intern will support Program Finance Officers in donor resubmission and compliance rectification processes. This includes drafting follow-up emails to country teams and submitters to expedite the closure of outstanding documentation queries.


Key Qualifications Required

Education

The position is open to a recent graduate or a final-year student pursuing accounting, finance, or a related field. Candidates who have completed their studies within the last year are encouraged to apply.

Knowledge and Skills

The intern should have a basic understanding of financial management and reporting practices. Good organizational, time management, and communication skills are essential.

Proficiency in Microsoft Office applications including Word, Excel, and PowerPoint is required. Excel skills are particularly important for maintaining trackers and organizing data.
